LSU Institutional Repository Policy

I. Scope

The LSU institutional repository, also known as the LSU Scholarly Repository, is managed by [the Scholarly Publications and Analytics Division of] LSU Libraries. The purpose of the institutional repository is to collect, preserve, publish, and make openly accessible, the research, scholarship, and institutional records written and/or published by LSU faculty, staff, students, and units.

II. Selection & Submission Types

Materials submitted to the LSU institutional repository can include:

  • Articles
  • Monographs
  • Theses & Dissertations
  • Audio-Visual Presentations
  • Technical Reports
  • Conference Proceedings
  • Special Collections
  • Data/Datasets
  • Publicly Funded Research
  • Institutional records

III. Submission Guidelines

LSU faculty, staff, students, LSU departments, research units, institutes, and centers can contribute to the LSU institutional repository. Moreover, individuals affiliated with LSU (i.e., those who have contributed to LSU sponsored conferences, journals, or special events) can submit items to the LSU institutional repository.

IV. Student Work

Under normal circumstances, undergraduate student work is not published in the institutional repository. Exceptions to this include the Roger Hadfield Ogden Honors College undergraduate theses and LSU Discover Day submissions.

Graduate student work can be published in the institutional repository, but these works are often longer in nature and have been under the direction of university faculty members. Items that meet the criteria of the institutional repository are the following:

  • Electronic theses and dissertations (ETDs)
  • Graduate student capstone projects
  • Published open-access articles in peer-reviewed journals

Acceptance of a work into the institutional repository is at the discretion of the institutional repository librarian and the director of Scholarly Publications and Analytics.

V. Rights and Permissions

Before submitting materials to the LSU institutional repository, all necessary permissions must be cleared. Additionally, submitters are responsible for ensuring that submitted content does not infringe any copyright, violate any proprietary rights, contain any libelous matter, or invade the privacy of any person or third party.

It is mandatory for submitters to complete the submission agreement, which does not require the transfer of copyright, before uploading any content. Submitters must have the authority to grant the LSU institutional repository a nonexclusive license to publish the materials.

Inclusion in the LSU institutional repository does not alter the copyright status of a work. Whatever entity holds the copyright to the work does not forfeit or transfer any copyright simply by submission to the LSU institutional repository.

VI. Preservation

While submissions to the institutional repository remain accessible indefinitely, we can assure a minimum 10-year commitment that submissions remain available.

VII. Withdrawal

The LSU institutional repository is a permanent repository. Once deposited, a submission will not be withdrawn unless it is a copyright infringement. In that case, items may be removed. Anyone who believes that their copyright has been infringed by the posting of a work in the LSU institutional repository should provide notice in compliance with the Digital Millennium Copyright Act of 1998 to LSU’s designated DMCA copyright agent:

At the request of the DMCA copyright agent upon the receipt of a proper DMCA notice, the LSU institutional repository will withdraw the work from public view and add a note to the public metadata record indicating the status of the work. The person submitting the work will be notified that the work is subject to a complaint and advised of the submitter’s right to give a counter-notice. If the submitter gives a counter-notice and the complainant does not respond as provided by the DMCA, the removed work may be reposted.

VIII. Use of Institutional Repository Content

The LSU institutional repository is an open access repository. In most cases, content is freely available. However, some materials may be embargoed or limited to the LSU community as requested or required by individual authors or publisher copyright agreements.

Users may access and use materials for their own use but remain solely responsible for those uses. Users should not republish, repost, or redistribute materials without the permission of the copyright holder. For any use exceeding personal use or fair use, permission may be required from the copyright holder of the material. Appropriate attribution is always required.

X. Disclaimer

The LSU IR Administrator reserves the right to reject or withdraw any submission that is not deemed fit or appropriate for the LSU institutional repository.
